Operational Policies & Terms of Service

Standard Operating Guidelines & Service Level Agreement (SLA)


1. Deployment Timelines, Operating Hours & Content Updates

Initial Deployment (10–14 Business Days): Hardware bench-testing and layout creation take 10–14 business days from receipt of signed agreement, onboarding deposit, and finalized menu assets.

Submission Standards: Standard setup covers formatting Client's finalized menu text, pricing, and logos (via image, spreadsheet, document, or print/laminated menu). Does not include copy editing, menu restructuring, or unformatted data cleanup; extensive restructuring is quoted separately.

Operating Hours & Turnaround: Updates are processed Monday–Friday, 9:00 AM–6:00 PM. Requests submitted during hours are pushed live within 2–4 business hours. After-hours requests are handled the next business morning. Weekend/event promos must be scheduled 24 hours in advance.

Sold-Out Fallbacks: Pre-configured backup slides can be activated upon text request to quickly toggle out sold-out items.

2. Facility Readiness & Installation Boundaries

No Structural / Electrical Trades: DFY Screens does not perform electrical wiring, wall mounting, or drilling. All displays must be mounted securely by Client or a licensed contractor prior to deployment.

Hardware Supply Limits: DFY Screens supplies and supports managed media players only. Client provides functional TV screens with accessible HDMI ports and dedicated, unswitched wall power.

3. Network Connectivity & Offline Resiliency

Venue Internet: Hardware requires an active Wi-Fi or wired Ethernet connection for status pings and updates.

Offline Caching: If venue internet drops, players automatically continue looping current media from local storage without interruption or black screens.

Network Changes: Client must notify DFY Screens of changes to network SSID or password. Dispatches necessitated by unannounced network alterations or unplugged cables carry a flat $50 visit fee.

4. Equipment Care, Tampering & Replacement

Power Continuity: Media players require continuous power. Staff must not disconnect units to power personal devices.

Damage / Loss Coverage: Physical impact, liquid damage, power surges, or lost equipment are not covered under regular maintenance. Replacement players are furnished at our direct hardware replacement cost of $65 per unit.

5. Content Rights & Intellectual Property Indemnification

Asset Ownership Warranty: Client warrants that all logos, trademarks, food photography, and text provided to DFY Screens are owned by Client or appropriately licensed for commercial broadcast display.

Indemnification: Client agrees to defend, indemnify, and hold harmless DFY Screens from any liabilities, claims, damages, or legal expenses arising from third-party copyright, trademark, or licensing claims related to client-supplied materials.

6. Billing Terms, Cancellations & Service Suspension

Automatic Monthly Retainer: Monthly retainers are charged automatically to the card on file on each monthly renewal date.

Month-to-Month Flexibility: Services operate month-to-month. Client may cancel anytime with a 30-day written notice prior to the next billing date.

Overdue Accounts: Accounts past due by more than 15 calendar days may be subject to remote service suspension or temporary display deactivation until balances are settled in full.
